Tutor Hiring and Background Check Policy

Hearken Tutors is committed to providing a safe, professional, and high-quality educational experience for our students. This policy outlines the procedures for hiring tutors, including mandatory DBS (Disclosure and Barring Service) checks, verification of qualifications and references, and the probation period for new tutors. These measures ensure that only qualified, trustworthy, and competent tutors join our team, fostering a secure and effective learning environment.

1. Mandatory DBS Checks for All Tutors

a) Purpose:

  • Safety: The primary purpose of conducting DBS checks is to ensure the safety and wellbeing of our students. By verifying that all tutors have a clean criminal record, we can prevent individuals with a history of harmful behavior from joining our team.

  • Compliance: Conducting DBS checks is a legal requirement and a key component of our safeguarding policy, ensuring compliance with child protection regulations.

b) Procedure:

  • Application: All potential tutors must undergo a DBS check as part of the hiring process. This will be initiated once the tutor has successfully passed the initial interview stage.

  • Cost: The cost of the DBS check will be covered by Hearken Tutors. Tutors must provide the necessary identification documents to facilitate this process.

  • Renewal: DBS checks are valid for a specified period. Tutors must renew their DBS checks at regular intervals, as determined by Hearken Tutors, to continue their employment.

c) Confidentiality:

  • Handling Information: All information obtained through the DBS check will be handled with the utmost confidentiality. Only authorized personnel will have access to this information, and it will be stored securely.

  • Notification: Tutors will be informed of the outcome of their DBS check. If any issues arise, they will be given an opportunity to discuss the findings with management.

2. Verification of Qualifications and References

a) Importance:

  • Quality Assurance: Verifying the qualifications and references of our tutors ensures that they possess the necessary academic background and teaching experience to deliver high-quality education.

  • Trustworthiness: Reference checks help confirm the tutor's professional conduct and reliability, further ensuring a trustworthy and competent team.

b) Process:

  • Qualifications: Tutors must submit proof of their academic qualifications, such as degrees and certifications, during the application process. These documents will be verified with the issuing institutions.

  • References: Tutors are required to provide at least two professional references. Hearken Tutors will contact these references to gather information about the tutor's previous work performance, reliability, and professional conduct.

  • Validation: Any discrepancies or concerns arising from the verification of qualifications or references will be addressed with the tutor directly. Failure to provide satisfactory proof of qualifications or positive references may result in disqualification from the hiring process.

3. Probation Period for New Tutors

a) Purpose:

  • Assessment: The probation period allows Hearken Tutors to assess the new tutor's performance, teaching style, and compatibility with our organizational values and standards.

  • Support: During the probation period, new tutors receive additional support and guidance to help them integrate smoothly into their roles and address any challenges they may encounter.

b) Duration:

  • Length: The probation period for new tutors is four months. During this time, their performance and conduct will be closely monitored and evaluated.

  • Review: At the end of the probation period, a formal review will be conducted to assess the tutor's suitability for continued employment.

c) Performance Evaluation:

  • Feedback: New tutors will receive regular feedback on their performance from both students and supervisory staff. This feedback will cover various aspects of their teaching, including effectiveness, engagement, and adherence to company policies.

  • Observations: Supervisory staff may conduct classroom observations to directly assess the tutor's teaching methods and interactions with students.

  • Improvement: If any areas of improvement are identified, the tutor will be given the opportunity to address these issues. Additional training or support may be provided as necessary.

d) Outcome:

  • Successful Completion: Tutors who successfully complete the probation period will be confirmed as permanent employees and may be eligible for a salary increment or other benefits.

  • Termination: If a tutor fails to meet the required standards during the probation period, their employment may be terminated. The decision will be based on the evaluation of their performance, feedback, and overall conduct.

Conclusion

The Tutor Hiring and Background Check Policy is designed to ensure that Hearken Tutors employs only the most qualified, reliable, and professional tutors. By mandating DBS checks, verifying qualifications and references, and implementing a probation period, we can maintain a high standard of education and safeguard the wellbeing of our students.
