This handbook is designed to give parents and students a clear understanding of our tutoring process, expectations for student behavior during sessions, and procedures for reporting any concerns.
 

1. Explanation of the Tutoring Process
 

a) Initial Assessment:

  • Purpose: At Hearken Tutors, we begin with an initial assessment to understand each student’s strengths, weaknesses, and learning style. This helps us tailor our tutoring to meet individual needs.

  • Process: The assessment may include a review of previous academic performance, standardized test scores, and a diagnostic test in the subject area to be tutored. Parents will be involved in discussing the assessment results and setting goals.
     

b) Personalized Learning Plan:

  • Development: Based on the initial assessment, a Personalized Learning Plan (PLP) is created for each student. The PLP outlines specific learning objectives, strategies, and a timeline for achieving them.

  • Review: The PLP is reviewed regularly, and adjustments are made as needed to ensure the student is on track to meet their goals. Parents will receive updates on their child’s progress.
     

c) Tutoring Sessions:

  • Scheduling: Tutoring sessions are scheduled at times that are convenient for both the student and the tutor. Sessions can be conducted online via our approved platform.

  • Structure: Each session typically lasts 60 minutes and includes a review of previous material, introduction of new concepts, practice exercises, and a brief assessment to gauge understanding.

  • Resources: Tutors use a variety of resources, including textbooks, online tools, and interactive activities, to engage students and enhance learning.
     

2. Guidelines for Student Behavior During Sessions
 

a) Respect and Conduct:

  • Respectful Environment: Students are expected to behave respectfully towards their tutors and peers. Disruptive behavior, including the use of inappropriate language or actions, will not be tolerated.

  • Preparedness: Students should come to each session prepared, with necessary materials such as textbooks, notebooks, and completed assignments. Active participation is encouraged to maximize the benefits of tutoring.
     

b) Attendance and Punctuality:

  • Timeliness: Students should be on time for each session. If a student cannot attend a scheduled session, parents must inform the tutor at least 24 hours in advance to reschedule.

  • Commitment: Regular attendance is crucial for consistent progress. Frequent absences or tardiness may affect the student’s learning and could lead to a review of the tutoring arrangement.
     

c) Online Conduct:

  • Appropriate Setting: When attending online sessions, students should be in a quiet, distraction-free environment. Parents of primary school students are encouraged to be present in the room during sessions.

  • Dress Code: While there is no strict dress code, students are expected to dress appropriately for online sessions, just as they would for in-person classes.
     

3. Information on How to Report Concerns
 

a) Reporting Procedures:

  • Confidentiality: Hearken Tutors takes all concerns seriously and handles them with the utmost confidentiality. Parents and students are encouraged to report any issues promptly.

  • Contact: Concerns can be reported directly to the student’s tutor, the Online Class Coordinator, or any member of the management team. Contact information is provided at the end of this handbook.
     

b) Types of Concerns:

  • Academic Issues: If there are concerns about the tutoring process, teaching methods, or academic progress, please discuss these with the tutor or coordinator to address them promptly.

  • Behavioral Concerns: Any issues related to student behavior during sessions should be reported immediately. This includes instances of disrespect, non-participation, or inappropriate conduct.

  • Safety and Well-being: If there are concerns about a student’s safety or well-being, including signs of bullying, abuse, or neglect, these should be reported immediately to the management team for appropriate action.
     

c) Follow-Up:

  • Acknowledgment: Upon receiving a report, Hearken Tutors will acknowledge the concern and initiate an investigation if necessary.

  • Resolution: We aim to resolve concerns promptly and to the satisfaction of all parties involved. Parents and students will be kept informed of the progress and outcome of any investigation.
